Assistant Registrar

Location: Utica, NY
Job Type: Full-Time, 12-Month

The College is looking for exceptional colleagues to join the MVCC community. We are currently seeking an Assistant Registrar in our Office of Records and Registration Department. The Assistant Registrar assists the Director of Student Records and Registration/Registrar in the administration of the office and registration while maintaining all the student academic records as required by law. They will work with Director and staff to establish and maintain excellent service. They will assist with implementing and interpreting academic and administrative policies and procedures. The Assistant Registrar establishes and continuously revises processes and procedures to improve accuracy of records and create efficient workflows.

Key responsibilities for this position include:

  • Assists with all Registration functions, including course registration, drop/adds, withdrawals, and management of course waitlists, and responds to inquiries from students, faculty, and staff.
  • Coordinates with other departments to support registration process in accordance with college policies and procedures.
  • Processes requests for academic amnesty and administrative withdrawals in accordance with college policies and procedures.
  • Collects census information for fall and spring semesters.
  • Maintains accurate student records across systems (e.g., Banner, BDM, Degree Works, etc.) including microcredential records and associated reporting, in accordance with SUNY, New York State and federal regulations.
  • Coordinates records retention and archival processes in alignment with SUNY and New York State records retention schedules, serves as a point of contact for FERPA-related questions, and submits monthly enrollment reporting to the National Student Clearinghouse, resolving and reporting exceptions as needed.
  • Assists during upgrades of systems, testing and works with technical staff to resolve issues. Implements and reviews procedures resulting from upgrades and system changes.
  • Collaborates with college offices (such as Institutional Research and Analysis (IRA), Information Technology (IT), etc.) for internal/external reporting needs.
  • Supports academic records and graduation functions, including end of semester processes (grade processing, academic standing review, graduation certification, and diploma issuance) and the accurate certification of student enrollment and degrees required for reporting.
  • Provides back-up support for the evaluation and review of Transfer Credit and posting to the students’ records.
  • Supports the maintenance of degree audit system (Degree Works), including scribing new programs as directed and updating program and/or degree requirements as approved in the catalog.
  • Maintains imaging system (Banner Document Management) for the office and trains staff as needed.
  • Works closely with IT to create new work flows to support the department’s needs.
  • Works with IT to create ARGOS Reports to assist the office and other departments.
  • Monitors student immunization compliance and applies or removes MMR holds in accordance with College and New York State public health requirements.
  • Advises and assists students with college policies and procedures to provide excellent service.
  • May supervise part-time employees as assigned, and work with and trains staff in departmental procedures, technology systems, and FERPA regulation.
  • Other related duties as they pertain to the job description and assigned by the Director of Records and Registration/ Registrar.

Work Schedule: Monday - Friday, 8:30am - 4:30pm. Occasional evenings or weekends may be required.

Required Qualifications:

  • Bachelor’s degree
  • Experience with diverse populations
  • Effective written and verbal communication, and interpersonal skills
  • Proficiency with standard office software, including word processing, spreadsheets, presentations and email
  • Multi-task and critical thinking abilities
  • Ability to work occasional evenings or weekends

Preferred Qualifications:

  • Master’s degree
  • Three (3) years of experience working in higher education
  • Banner, Argos, and/or DegreeWorks experience
  • Proficiency with Microsoft Office Suite
